Medical Affairs Operations Specialist

Our Medical Affairs Operations & Administrative Associates, also known as Medical Affairs Enablement & Operations (MAEO), collaborate with the Medical Affairs Team to implement country Medical priorities and enhance operational efficiency.
The MAEO is responsible for a wide range of tasks that empower the Medical Affairs team to positively impact patients' lives. These tasks include project/event management, Expanded Access Programs, vendor maintenance, financial transaction processing, budget tracking, onboarding new starters, and general administrative support (e.g., booking venues, meeting invitations, meeting rooms, catering).
This role focuses on compliance, ensuring adherence to internal Pfizer standard operating procedures, corporate compliance rules, and company work instructions.
We strive to deliver an exceptional customer experience to our internal and external stakeholders, enabling our Medical Affairs experts to effectively engage with healthcare professionals, peak bodies, patient advocacy groups, and other stakeholders while maintaining the highest standards of compliance.
Key Responsibilities
- Developing subject matter expertise in compliance, managing financial transactions, adhering to strict operational requirements for Medical Affairs consultancies, and other relevant engagements.
- Coordinating operations and logistics for Medical Affairs initiatives, ensuring compliant and efficient booking and oversight of all healthcare practitioner customer and consultant logistics arrangements for engagements and events, such as medical and scientific congresses, satellite symposia, Pfizer-hosted meetings, Advisory Boards, and Pfizer consultancies.
- Maintaining the global Expanded Access Program and supporting the Non-Commercial Supply of Medicine in Australia & New Zealand.
- Processing sponsorships, educational grants, and vendor transactions on behalf of the Medical Affairs team.
- Internal & External event management & booking logistics for Advisory Board meetings, patient engagements, and speaker engagements.
- Financial oversight and project spend tracking.
- Completing administrative and project-related tasks that support the Medical Affairs team, such as managing distribution lists, booking meeting rooms, sending meeting invitations, organizing catering, and other administrative duties.
- Delivering a great onboarding and orientation for new starters at Pfizer, including ordering equipment, name badges, business cards, etc.
- Providing dedicated support to specific Therapy Areas or divisions within the Medical Affairs department and delivering a great customer experience for both internal and external stakeholders.
Requirements

- Excellent organizational skills.
- Strong interpersonal and communication skills with a proven track record of working collaboratively across functions.

Salary
The estimated salary for this position is between $80,000 - $110,000 per annum, depending on location and experience.
