The Role

We're seeking a highly organized and proactive Personal Assistant to support our leadership team in their day-to-day work and projects. As our first official Personal Assistant to the Leadership Team, you'll be working closely with our co-founders, General Manager, and Operations Manager to ensure the smooth operation of their activities. Your primary responsibilities will include managing schedules, coordinating meetings, organizing events, keeping projects on track, handling communication, managing Contour campuses, and providing general administrative support.

Key Responsibilities
  • Manage and maintain calendars, including scheduling, meetings, stand-ups, appointments, and travel arrangements;
  • Coordinate meetings, including organizing them with team members, preparing or confirming agendas, compiling and organizing minutes, and following up on action items;
  • Organize team and company-wide events such as informal gatherings or dinners, organizing venue, logistics, catering, resources, technology, etc.;
  • Organize HR events such as onboarding, training, workshops, and team-building activities;
  • Become an internal point of contact for the wider Contour team, serving as a liaison between leadership team and employees, facilitating effective communication, escalating messages appropriately, as well as helping prepare and distribute internal communications such as memos and announcements;
  • Handle external correspondence and communication with vendors, partners, and service providers, manage incoming inquiries, direct them to the appropriate person, ensure prompt and professional responses;
  • Manage and track projects, including timelines, deliverables, following up on progress, and ensuring deadlines are met;
  • General office management, including ensuring the Contour campuses are clean, well organized, and equipped with necessary supplies;
  • Troubleshoot office issues such as any minor technical issues and arrange for repairs or replacements as needed;
  • Printing management, ensuring the Contour campuses are supplied with sufficient paper and printer supplies, all printers are functional, and liaising with vendors and service providers as required to ensure smooth printing operations;
  • Manage budgeting for projects, minimizing costs as much as possible, and managing employee reimbursements;
  • Conduct research and simple data analysis on various topics as required, compiling data and presenting clear and concise findings;
  • Occasionally assist with personal tasks such as scheduling personal appointments or managing personal schedules;
  • Maintain confidentiality and handle sensitive information with discretion;

Experience Requirements
  • Bachelor's Degree (or higher) in Commerce/Business/Management/Marketing/Operations;
  • 1+ Years Experience as Personal Assistant, Executive Assistant, or similar role supporting/working closely with senior management;
