The Role: Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator to manage the day-to-day operations of our office. The ideal candidate will be responsible for overseeing administrative tasks, managing office supplies, coordinating meetings, and ensuring the smooth running of the office.

  • Key Responsibilities:
  1. Perform receptionist duties including answering the main office phone, providing information about knowmore, taking and delivering messages, welcoming clients, and dealing with visitors and deliveries.
  2. General office duties including word processing, filing, scanning, photocopying, faxing, collecting and delivering mail, and maintaining records of communications.
  3. Provide support to the multi-disciplinary team and back up to the Paralegals as needed.
  4. Book travel, flights, and accommodation for staff.
  5. Assist the Finance team with monthly reconciliations.
  6. Purchase office equipment and stationery.
  7. Coordinate room bookings, network meetings, and catering.
  8. Maintain records in accordance with policies and procedures.
  9. Participate in induction process for new starters.
  10. Demonstrate attention to detail and experience in handling difficult situations.
  11. Work collaboratively within a multi-disciplinary team.

Qualifications and Skills:

  1. A High school diploma or equivalent required; associate or bachelor's degree preferred
  2. 2+ years of experience in an administrative role
  3. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  4. Excellent communication and interpersonal skills
  5. Strong organizational and time management skills
  6. Ability to multitask and prioritize tasks effectively
  7. Attention to detail and accuracy
  8. Ability to work independently and as part of a team
