We are seeking a dedicated Part-Time Administration Assistant to join our dynamic team. The successful candidate will be responsible for providing exceptional customer service and ensuring the smooth operation of our practice.

About the Role

This is a key role in the administration of our clinic, requiring strong organizational skills and attention to detail. As the first point of contact for patients and other stakeholders, you will play a crucial part in maintaining a welcoming and professional environment.

The ideal candidate will have excellent communication skills, both written and verbal, and be able to work effectively as part of a small team. They will also have a high level of computer literacy and be proficient in using software applications to manage appointments, bookings and patient records.

Key Responsibilities
  • Front Desk & Patient Care: Greet patients warmly and ensure their needs are met with a high level of professionalism and courtesy.
  • Appointment Management: Schedule and oversee bookings using our practice management software, ensuring seamless communication with patients and medical staff.
  • Case Coordination: Liaise with insurers, medical centers and third-party providers to resolve any issues that may arise.
  • Billing & Payments: Process invoices and payments via HICAPS, EFTPOS and Medicare.
  • Administration Support: Prepare and finalize referral letters, maintain accurate records and provide administrative support to the clinic team.
  • Practice Management: Assist with housekeeping tasks to maintain a clean and organized workplace.
Requirements
  • Exceptional customer service skills with the ability to handle confidential information discreetly.
  • Strong proficiency in computers and technology, including Microsoft Office and practice management software.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and concisely.
  • Professionalism, proactivity and the ability to remain calm under pressure.
  • Reliability, attention to detail and the ability to follow established systems and procedures.
  • A positive team player who fosters a supportive work environment and contributes to the growth of the business.
