About the Role

We are seeking a highly organized and detail-oriented Contract Support Specialist to join our team at CBRE Global Workplace Solutions. As a key member of our team, you will provide exceptional customer service and administrative support to our clients and internal stakeholders.

Key Responsibilities
  • Administrative Support: Provide comprehensive and flexible administrative services to our NSW Business Unit or client account, including managing sickness, absence reporting, and holiday tracking.
  • Financial Management: Collate and process timesheets and expenses, and provide training to team members. Maintain people records, including training, inductions, new starters, and leavers.
  • Communication and Relationship Building: Communicate effectively with internal and external customers, build and maintain relationships at all levels, and assist in compiling Site/Area Monthly Contract Review Packs and monthly contract meeting reports.
  • Supply Chain Management: Order materials, parts, and PPE, and plan maintenance visits for technicians and sub-contractors.
  • System Administration: Become a system champion for SimPro, Firemate, Pronto, and My Supplier, and support the Work Order Specialist with planning and scheduling works.
  • Performance Management: Drive PPM and reactive performance through direct engagement with the engineering team and service partners.
  • Quality and Safety: Ensure QHSE documentation is maintained and readily available using CBRE systems, and ensure supplier management reviews take place and are recorded.
  • Innovation and Improvement: Actively identify and implement innovation across the contract to enhance performance and meet client expectations.
  • Financial Integrity: Ensure the integrity of financial transactions from the contract, and maintain the WIP, open purchase orders, debt to agreed contractual defined parameters, and month-end financial reporting.
About You

We are looking for a candidate with:

  • Experience in a similar customer-facing role.
  • Experience in finance and administration.
  • Previous experience in the HVAC or Fire industry.
  • Excellent PC-based skills, with a high level of experience in Word, Excel, and Outlook.
  • 3 years' experience in a similar role with managerial experience.
  • Experience with Simpro and Firemate software.
  • Flexibility to work outside core office hours from time to time.
