Job Overview

We are seeking an organized and professional Virtual Operations Coordinator to join our team. As the first point of contact for our clients, this role plays a crucial part in ensuring smooth operations for both incoming and outgoing communications.


Key Responsibilities
  • Phone Inquiries: Answer incoming calls in a timely, professional, and friendly manner, providing information and directing calls to appropriate departments or personnel.
  • Phoning New Referrals: Use established scripts to make outbound calls to new referrals, providing relevant information and scheduling appointments as needed.
  • Cancellations & Rescheduling: Manage incoming calls and emails related to cancellations or rescheduling requests, striving to retain appointments when possible.
  • Lead Tracking: Accurately track incoming leads and enter them into designated systems, monitoring follow-up actions to ensure all leads are addressed promptly.
  • Communication: Address and respond to voice and SMS messages in a timely manner, ensuring efficient and effective handling of inquiries.
  • Message Management: Respond to messages received via communication tools, such as email, SMS, or phone calls, in a professional and timely manner.
  • Internal Communication: Serve as a communication link between clients and clinicians, relaying relevant information through various channels as needed.
Requirements
  • At least 2 years of experience in a similar role
  • Excellent English and pronunciation skills
  • Knowledge of Exercise Physiology, Physiotherapy, Dietetics, and Hydrotherapy benefits
  • Exceptional organizational and time management skills
  • Strong customer service skills, particularly with young people and their families
  • Advanced computer skills, including word processing, spreadsheets, and database applications
  • Familiarity with NDIS, Medicare, DVA, Private Health, WorkCover / Return to Work SA, Pre Employment Assessments, and Drug and Alcohol Assessments
