Job Title: Early Learning Centre Administrator

We are seeking a dedicated and organized individual to support the day-to-day administration of our Early Learning Centre. The successful candidate will provide an efficient, productive, and high-quality service for staff and ELC families.

The position is for 15-30 hours per week for 42-48 weeks per year, with negotiable days and times. The successful candidate will demonstrate relevant theoretical knowledge and have the technical skills or experience to perform a variety of duties independently.

Key Responsibilities:
  • Perform a range of administrative and clerical duties, including word processing, maintaining email and computerized records, filing, and record management.
  • Organize group meetings, morning teas, parent meetings, and external meetings.
  • Use office applications at an intermediate level.
  • Produce printed materials and documents, including copying, collating, stapling, binding, folding, and cutting.
  • Operate office equipment such as photocopiers, printers, fax machines, binding machines, and scanners.
  • Support the ELC Director and Registrar with administrative tasks and assist with enrolment processes, including handling inquiries and interviews.
  • Create and update enrolment application packs in accordance with College branding policies.
  • Assist with booking children into the Long Day Care, Kindergarten Programs, and Holiday Program when needed.
  • Help prepare and maintain compliance documents, funding submissions, and relevant policies.
  • Manage family fee processes, including remissions and child care subsidies, and reconcile monthly accounts.
  • Maintain the 'Xplor' Program for daily ELC operations.
  • Ensure compliance by submitting notifications to relevant government departments.
  • Prepare routine financial and management reports for review and approval as required.
