About the RoleWe are seeking a highly skilled and experienced Receptionist to join our team. As the first point of contact for clients and visitors, you will be responsible for providing excellent customer service, managing the front desk, and ensuring the smooth operation of the practice.
Key Responsibilities- Represent the practice as the first point of contact, greeting clients and visitors, and answering all incoming calls and making client bookings.
- Provide administrative support to the Director, including managing mail, emails, and preparation of documents and correspondence.
- Update and maintain client files, including preparing new files, scanning documents, and archiving closed files.
- Assist with the coordination and invoicing of sub-letters and sub-contractors.
- Follow up with the list of weekly tasks and complete procedural checklists.
- Monitor and maintain the reception area, practice rooms, and waiting area to ensure a clean and tidy environment.
- Assist with the technical set-up of patient examinations, including instructing patients where to wait or initiating testing protocols.
- Provide training and feedback to the reception team to ensure processes and quality of service are maintained.
- Oversee the reception team's general duties, including call screening, message taking, receiving and directing visitors and clients, and managing incoming and outgoing mail.
- Maintain stock inventory for sales and general cleanliness of common areas.
- Highly developed verbal and written communication skills.
- Excellent attention to detail and ability to manage and organise work and self in a systematic, accurate, and timely manner.
- Information Technology skills, including proficient use of major programs and packages (Word, Excel, PowerPoint).
- Excellent interpersonal skills and professional presence with clients.
- Ability to work well under pressure and accommodate varying levels and urgency of tasks.
- Enthusiasm to further develop abilities and skills.
- Experience working in a medical practice or allied health clinic.
- Knowledge of clerical and administrative procedures and systems, including filing and record-keeping.
- Strong communication skills, including written and verbal.
- Excellent planning and organising skills, with the ability to effectively prioritise tasks.
- Problem assessment and problem-solving skills, including information gathering and monitoring.
- High attention to detail and accuracy, with flexibility and adaptability.
- Strong customer service orientation and teamwork focus.
