Client Services Coordinator Job Description

The Role:

  • Provide exceptional client service, ensuring prompt, efficient, and courteous interactions with clients, partners, and staff.
  • Serve as the primary point of contact for the Client Services Manager, handling inquiries and concerns in a professional manner.
  • Develop strategic relationships with key supervisors within the Client Services Team, fostering collaboration and open communication.
  • Coordinate meetings and events, ensuring timely information sharing and effective resource allocation.
  • Manage reception desk operations, supervising and training permanent and casual staff to provide seamless service.
  • Operate computer-based booking systems, confirming bookings in line with standards and procedures.
  • Receive clients/staff professionally, advising relevant parties of their arrival and directing them to allocated rooms.
  • E nsure accurate procedural documents, maintaining current content and communicating changes promptly to the reception team.
  • Support financial reporting and database management, providing valuable insights to inform business decisions.
  • Offer after-hours support to clients, partners, and staff on client floors.
  • Collaborate with VC Centre operations as required, driving efficiency and effectiveness.

Requirements:

  • Minimum 5 years front desk or industry-relevant experience.
  • Proven staff supervision experience.
  • Proficiency in Microsoft Office Suite.
  • Experience using computerized booking systems (e.g., Space Scheduling Software).
