ROLE OVERVIEW

The Fleet Administration Specialist serves as the primary contact for all customer inquiries. This role supports Relationship Managers in reviewing and managing the customer portfolio by delivering exceptional service and understanding client needs.

KEY RESPONSIBILITIES

  • Collaborate with the Relationship Manager to proactively oversee the customer portfolio, ensuring the delivery of professional fleet management services and being the main point of contact for resolving, allocating, and following up on all client requests, while ensuring compliance with contractual obligations and KPIs.
  • Identify and maximize business opportunities with clients to enhance client retention and profitability. Assist the Relationship Manager in promoting additional products and services to existing clients, introducing initiatives that add value to the relationship.
  • Conduct regular fleet reviews through effective reporting, addressing exceptions by managing key reports such as invalid odometer readings, utilization reports, service schedules, fuel discrepancies, and surplus vehicle reporting, while seeking cost-reduction opportunities through fleet optimization.
  • Prepare quotations within specified turnaround times and ensure proper documentation of outcomes using a won/lost business template.
  • Proactively manage upcoming vehicle terminations and restructures in line with best practices in fleet management.
  • Build strong relationships with clients by understanding their needs and identifying opportunities for revenue growth, including fee increases. Where applicable, maintain a 'client strategy' document for each client and support a structured client visitation program.

SKILLS AND QUALIFICATIONS

  • Experience in a customer service role.
  • Strong business acumen and commercial awareness.
  • Excellent organizational and prioritization skills, with the ability to meet deadlines and provide regular progress updates.
  • Effective verbal and written communication skills, including strong listening and probing abilities.
  • Aptitude for critical analysis and problem resolution in a timely and effective manner.
  • Proficiency in Microsoft Office applications (Excel, Word).
  • High attention to detail.
