We are seeking a skilled Facilities Admin Officer to join our team in a permanent part-time position. This role involves managing customer and supplier contracts, supporting tender submissions, and ensuring smooth contract delivery.
About the Role- Key Responsibilities:
- Manage customer and vendor contracts, including claims, payment schedules, invoicing, variations, and contract deliverables.
- Assist with tender submissions for new customer contracts.
- Coordinate and administer all tender and contract items, such as insurances, ISO certificates, council permits, and business licenses.
- Invoice and progress claim according to contract terms.
- Compile and submit contract KPI reports.
- E nsure accurate and timely generation, receipt, maintenance, and processing of contract information and documentation.
- Support General Managers and site managers with contract deliverables and review individual contract performance.
- Produce regular and ad-hoc reports on contract status for management.
- Contribute to service and contract delivery improvement.
- Attend and minute contract meetings.
- Support internal cost control and forecasting using applicable software packages.
- Monitor customer invoicing according to contract terms.
- Develop and maintain effective working relationships with contract suppliers, stakeholders, and team members.
- Review and develop contract management systems and administrative procedures.
- Lead and support a productive team by collaborating with colleagues.
- Prepare company reports according to reporting cut-off dates.
- Provide subcontract support and administration.
- Escalate matters requiring management decisions or attention.
- Maintain compliance with Fleetwood policies and procedures at all times.
- You have 3 years of experience in contract administration, preferably in hotel or facilities management sectors.
- You possess excellent written and verbal communication skills, time management skills, and the ability to work under pressure.
- You have advanced clerical and administrative skills, including sound analytical skills and accurate record-keeping.
- You are proficient in Microsoft Office and have intermediate computer literacy.
- You have a commitment to efficient and effective customer service delivery.
