Operations Executive Job Description

We are seeking an experienced Operations Executive to support our day-to-day trading activities.

This role involves managing export/import documentation, including Letters of Credit, Bills of Lading, Insurance Certificates, and Certificates of Origin.

The successful candidate will assist in preparing, reviewing, and signing sales/purchase contracts and trade/shipping paperwork.

Key Responsibilities:
  • Manage export/import documents, ensuring accuracy and timeliness.
  • Coordinate with ship brokers, port inspectors, and logistics partners for smooth vessel loading and discharging.
  • Monitor vessel status and ensure shipments meet contractual delivery schedules.
  • Perform laytime calculations and track payments with banks and counterparties.
  • Liaise with overseas agents, consultants, trade partners, and authorities to resolve shipping or contract issues promptly.
  • Maintain accurate records of contracts and shipments.
  • Prepare regular reports for management.
  • Support process improvements in workflow, efficiency, and internal controls.
  • Answer operational/trade queries when traders are unavailable.

Job Requirements:

  • Bachelor's degree in a related field.
  • Minimum 3 years of experience in a similar role.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal skills.
