Job Summary:

The Administration Officer role entails delivering high-calibre administrative support to the Emergency Department at a major hospital. This position requires a highly organised and proactive individual with exceptional communication skills, adept at working effectively in a fast-paced environment.

Key Responsibilities:

  • Prepare and manage medical staff schedules, ensuring optimal coverage for planned and unplanned absences.
  • Liaise with multiple departments to compile daily schedules, maintain accurate records in the electronic patient management system, and ensure compliance with employment conditions and award provisions.
  • Manage locum placements, process employee timesheets, monitor overtime, and escalate staffing shortages as needed.
  • Collaborate closely with the JMO Unit, Nurse Manager, and medical leadership to ensure seamless operations.

Essential Skills and Qualifications:

  • Demonstrated ability to provide effective and professional administrative support, maintaining confidentiality and discretion.
  • Excellent interpersonal, verbal, and written communication skills, enabling successful interactions with management and staff at all levels.
  • Confident and proactive in learning new online tools and software, including proficient use of Microsoft Office Suite.
  • Strong organisational skills, with demonstrated ability to plan, organise, set priorities, and meet deadlines.
  • Experience in responding to a range of enquiries and determining appropriate responses in a complex work environment.
