About the Role:
The Student Services Officer plays a pivotal role in ensuring an exceptional student experience, from enrolment to graduation. This front-facing position supports academic success and satisfaction by coordinating support processes, maintaining accurate records, and collaborating with various teams to uphold compliance and service excellence.
Key Responsibilities include:
- Enhancing Student Services: Engage and support students with advice, demonstrating understanding and commitment to diversity. Organise and facilitate student orientation programs to ensure a smooth transition for new students. Coordinate academic and counselling referrals to support course progression according to academic requirements. Assist in logistics for graduation ceremonies, certificate issuance, and communicate event details to students in line with academic policies.
Main Responsibilities:
- Maintain effective communication with students, academic staff, and internal teams to support collaboration. Foster an inclusive culture of excellence and continuous improvement within student services. Work with departments to streamline unit enrolments, result processing, and student communications, focusing on student needs and compliance. Respond to queries and provide accurate responses or direct them appropriately. Handle incoming calls and greet visitors, offering guidance and support.
Data Management and Administration:
- Maintain accurate student records in management systems, ensuring data integrity, compliance, and privacy. Support enrolments, timetable adjustments, results, fees, and unit sequencing queries. Communicate course progress and initiate interventions as needed. Work with academic departments for results and documentation issuance, ensuring accuracy and timeliness. Collect and analyse student feedback to inform service improvements. Process re-enrolments, manual enrolments, and assessments within deadlines. Register students on intake and monitor compliance with orientation activities. Manage invoicing processes at enrolment.
Candidate Requirements:
- Experience in administration or student services, preferably in education. Proficiency in student information systems (e.g., RTO Manager, CRM) and Microsoft Office. Strong organisational skills and ability to manage priorities under deadlines. Excellent communication skills, both verbal and written. Customer-focused mindset, committed to high-quality service. Attention to detail, with understanding of compliance and data management. Ability to collaborate effectively and interact confidently with stakeholders.
Desirable Qualifications:
- Experience with JIRA and academic administrative processes. Experience in orientation delivery and graduation logistics. Knowledge of the Australian education system and standards.
