This role involves providing project coordination and administrative support, including monitoring processes, ensuring completion of internal and external documentation, and attaching required documentation to relevant internal systems.

Key Responsibilities:

  • Client Liaison: Build strong relationships with high-level executives and their support teams, ensuring a good working relationship throughout the project.
  • Financial Management: Review and approve monthly client billing invoices, monitor accounts receivable aging detail, and assist in timely account collections.
  • Proposal Development: Draft proposals, position specifications, and candidate resumes in coordination with other EAs and consultants/associates.
  • Communication: Prepare and edit Pitch Decks and proposals in PowerPoint, and produce written responses to resumes and phone contacts.
  • Reporting: Review all reports from accounting to ensure accuracy and request corrections when necessary.
  • Support: Provide periodic backup telephone/admin support for other Admins, consultants during absences.
  • Call Management: Manage a high volume and variety of calls from clients, candidates, business development contacts, and job seekers.

Requirements:

  • Education: Degree level or equivalent qualifications/experience in the EA/administration field.
  • Technical Skills: Excellent PowerPoint skills, high proficiency in the Microsoft Office suite (Outlook, Word, and Excel).
  • Experience: Five plus years of relevant experience supporting leaders and senior professionals within a Professional Services firm.
  • Personal Qualities: High degree of professionalism and competence, strong work ethic, and sense of personal and professional integrity.
