Executive Assistant

We are seeking a highly skilled and experienced Executive Assistant to provide comprehensive administrative support to our CEO.
About the RoleThis is a unique opportunity to work closely with a dynamic CEO in a fast-paced, growing company. As the Senior Executive Assistant, you will be involved in every aspect of the business, taking the lead and working at a fast pace to become the strategic partner the CEO needs.
Key Responsibilities- Provide administrative support to the CEO, managing communications, including letters, memos, reports, emails, and phone calls.
- Coordinate and prioritize meetings, ensuring seamless calendar management without conflicts.
- Organize and coordinate Senior Management Team meetings in collaboration with the CEO.
- Prepare, draft, and format documents, such as correspondence, submissions, and reports.
- Arrange and manage travel logistics, including booking flights, accommodation, transportation, and handling expenses.
- Serve as the key liaison between the CEO and the Senior Management Team to ensure smooth coordination and follow-up on daily matters.
- Evaluate incoming inquiries directed to the CEO, determine the best course of action, and support effective decision-making.
- Uphold confidentiality and discretion when dealing with sensitive information and business matters.
- Plan and manage events, including the annual Christmas function, and provide assistance with other event arrangements as required.
- Supervise the Receptionist, ensuring an optimal experience for ESR Australia and external visitors.
- Support ad-hoc projects as needed.
- Extensive experience as an Executive Assistant, providing support to senior executives and teams in high-pressure, fast-moving environments.
- A proactive problem-solver with excellent written and verbal communication skills.
- Impeccable attention to detail and precision in all tasks.
- Strong organisational and time management abilities, adept at juggling multiple projects simultaneously while meeting deadlines.
- Competent in conducting research, analysing information, and preparing concise summaries or reports on behalf of the CEO.
- Proven capacity to build and nurture relationships with internal and external stakeholders, fostering collaborative working environments.
- Proficient in Microsoft Office and other productivity tools, with the ability to quickly adapt to new software and systems.
- Flexible and adaptable, able to manage shifting priorities with ease.
