We deliver digital solutions of the physical world, enabling clients to plan, design, build, and manage their assets, infrastructure, and environments.

Your New Role

You will play a vital role in ensuring the smooth operation of our business by providing comprehensive office administration and executive support. As an essential member of our Wollongong office, you will assist in day-to-day activities and help maintain high levels of efficiency and productivity.

Your attention to detail, strong organizational skills, and ability to handle multiple tasks will be crucial in contributing to the overall success of the firm. The role is based on 3 days per week (22.8 hours equivalent), with a flexible work pattern.

Key Responsibilities

  • Executive support for the leadership team when required
  • First point of contact for Wollongong office management
  • Manage daily administrative tasks, including handling correspondence with clients and suppliers
  • Generate and process purchase orders and invoices accurately and in a timely manner
  • Travel Management: Oversee all aspects of travel arrangements, including booking flights, accommodations, and transportation for employees, ensuring compliance with company travel policies and budget constraints
  • Occasional travel to the Sydney CBD office may be required

Requirements

  • Minimum 5 years of experience in an administrative role, with proven experience in executive support
  • Certificate IV or higher in a Business Administration related discipline
  • Possess a class C Drivers' License
  • Ability to effectively set priorities, meet deadlines, and adapt to last-minute changes
  • Advanced skills in Word and Excel, Basic PowerPoint, Outlook, and Office365 software packages, with accurate typing (70+wpm)
  • Well-rounded interpersonal skill set
  • Good attention to detail, with the capacity to build strong team relationships and work effectively in a team environment
  • Ability to initiate process improvements where required
  • Exceptional communication and interpersonal abilities
