About This Role:

This role oversees the operations of conferences and events, focusing on revenue growth and accurate forecasting.

  • Key Responsibilities:
  • Manage conference sales operations to maximize revenue and achieve set targets.
  • Review business plans, identifying areas for improvement and implementing proactive measures.
  • Participate in budget and business planning processes for room revenue related areas.
  • Analyze market trends and competitors to develop strategies for hotel competitiveness.
  • Ensure accurate tracking of bookings data, including agent and company productivity, booking channels, and source coding.
  • Collaborate with the Director of Sales/General Manager to identify new sources of residential conferences, special events, and group bookings.
  • Foster networking relationships through site inspections, internal showcase events, and other opportunities.
  • Coordinate and run special events as needed.
  • Communicate effectively with various hotel departments to ensure efficient operations.
  • Schedule meetings with management, owners, departments, and team members as required.
  • Gather client feedback post-event to secure repeat business.
  • Monitor revenue and payments daily, ensuring accuracy in accordance with event contracts.
  • Provide regular reports on conference, events, and group holdings, highlighting operational impacts.
  • Protect departmental assets to maintain their long-term investment value and report any damage or issues.
  • Maintain high service standards while maximizing department efficiency and reducing turnover time on inquiries, quotes, contracts, and details.
  • Evaluate the department's performance against hotel policies, procedures, and guidelines.
  • Create and manage departmental rosters, prioritizing staffing strategies to meet financial and service targets.
  • Foster positive leadership and staff morale through productive and effective management.
  • Identify training needs within the department and implement or update training materials.
  • Track overtime, leave, breaks, and other staff entitlements effectively.
  • Recruit, train, and develop conference personnel, including regular performance evaluations and appraisals.
  • Develop and implement solutions to specific service problems identified through client feedback.
  • Motivate the conference team to contribute to hotel profitability through upselling and yield management utilization.
  • Promote a positive work environment by setting a good example and supporting colleagues when needed.
  • Attend scheduled meetings and participate in training and development programs.
