Program Operations Specialist

We are seeking a proactive individual with a solid grasp of project management fundamentals to provide operational support to our program leadership team and drive efficient and effective program delivery.

About the Role
  • Provide administrative support to our program leadership team, including coordination of meetings, tracking of vendor contracts and provision of logistical support during recruitment.
  • Receive, resolve and/or escalate enquiries, ensuring timely and effective resolution of issues.
  • Own onboarding & offboarding activities for our program, including administration of new hires and departures.
  • Support management and tracking of contracts, including goods receipting.
  • Coordinate the purchase and delivery of IT equipment and services, ensuring alignment with relevant policies and procedures.
  • Build and maintain collaborative relationships with key internal and external stakeholders.
Key Responsibilities
  • Administrative Support: Provide daily administrative support to our program leadership team, including scheduling appointments, making travel arrangements and preparing meeting materials.
  • Contract Management: Manage and track vendor contracts, ensuring compliance with company policies and procedures.
  • Logistics: Coordinate the purchase and delivery of IT equipment and services, ensuring timely and cost-effective solutions.
  • Communication: Develop and implement effective communication strategies to engage with stakeholders and promote our program.
Requirements
  • Excellent Communication Skills: Ability to communicate effectively with diverse stakeholders, both verbally and in writing.
  • Organizational Skills: Ability to prioritize tasks and manage multiple projects simultaneously.
  • Technical Skills: Proficiency in Microsoft Office, including Word, Excel and PowerPoint.
  • Project Management Skills: Ability to manage projects from conception to completion, including budgeting, timelines and resource allocation.
