Administrative Coordinator Job Description

This is an exceptional opportunity to join our team as an Administrative Coordinator. In this role, you will provide a broad range of high-level administrative services to support the program of work and facilitate the delivery of business operations.

  • Key Responsibilities:
  • Provide high level administrative and project support services to meet business needs.
  • Lead and direct administrative staff, providing on the job training and advice.
  • Create high-level documents including correspondence, presentations, and reports for internal and external stakeholders.
  • Coordinate timetabling and scheduling by collaborating with university staff.
  • Provide financial and HR support in consultation with the Faculty Manager.
  • Respond to complex enquiries and issues, ensuring accurate information and timely resolution.
  • Deliver excellent customer service to students and University stakeholders.
  • Manage records and databases to ensure accuracy, correct storage, and accessibility.
  • Accurately complete tasks and communications while liaising closely with other areas of the organisation.
  • Prepare detailed written communication under direction.
  • Contribute to continuous improvement by reviewing and implementing enhanced administrative systems and processes.
  • Support planning and delivery of rural events and engagement activities for students.
Qualifications and Skills

To be successful in this role, you will have:

  • Relevant tertiary qualifications in business administration or education.
  • Proven administrative supervision/leadership experience in a complex environment.
  • Higher education experience is desirable.
  • A strong understanding of administrative and office management procedures.
  • Demonstrated success in delivering quality customer service.
  • Highly developed written and verbal communication skills.
  • Ability to interact professionally with diverse stakeholders.
  • Proven ability to work collaboratively to achieve common goals.
  • Strategic and project management skills, meeting competing deadlines.
  • Excellent computer skills, including MS Office and information systems.
  • Strong organisational skills, attention to detail, and accuracy.
  • Flexibility to adapt to changing priorities and handle unexpected challenges.
