Job Title: Administration Assistant / Receptionist

About the Role:

We are seeking an experienced Administration Assistant / Receptionist to join our team at Property Network of Australia. As a key member of our property management team, you will be responsible for providing administrative support to our Retail Centre & Operations Managers, ensuring the smooth operation of our front reception area, and providing exceptional customer service to our tenants and contractors.

Key Responsibilities:

  • Manage the front reception area, ensuring all visitors and contractors are signed in and processed in a timely manner.
  • Assist with the booking of staff travel and maintain contact lists for key stakeholders.
  • Handle tenant communications regarding Public Liability Insurance collection and ensure compliance with deadlines.
  • Arrange contractors for repairs and maintenance, ensuring all works are documented and processed in Yardi.
  • Process accounts payable invoices and handle monthly rent roll processes, including documentation uploads.
  • Coordinate charity bookings and casual mall leasing agreements, ensuring compliance with site requirements.
  • Support the Retail Centre & Operations Managers in day-to-day administrative functions and tenant relations.
  • Participate in risk and emergency management training, assisting with evacuation procedures as required.

Requirements:

  • Proven administrative experience within property management.
  • Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Experience with financial reporting, accounts payable processes, and database management systems.
  • Excellent communication and customer service skills, with the ability to liaise with tenants, contractors, and internal teams.
  • Ability to work independently, proactively addressing issues as they arise.
  • Experience managing contractor documentation, including public liability and site inductions.
  • A proactive, organised approach to managing multiple tasks and deadlines.
