Job Summary

The Business Operations Coordinator will provide day-to-day administrative support to the Department of Transport and Planning Ministerial Offices. The role requires providing exceptional customer service and building effective working relationships across the Ministers' Office and the Department.

This position involves attending to a broad range of face-to-face, written, and telephone correspondence relating to Ministerial queries, processes, and protocols. The successful candidate will be responsible for coordinating workflow, including reporting, printing, and prioritizing urgent matters for the office.

Key Responsibilities:

  • Provide high-quality and timely administrative support to ensure the Minister's office is managed efficiently
  • Coordinate tasks and meet deadlines while maintaining effective working relationships with key internal and external stakeholders
  • Respond to incoming calls and greet guests to the Minister's office
  • Assist in promoting and supporting safe, inclusive, and flexible team operations
  • Contribute to improving administrative processes to support the effectiveness of your work area and broader team

Required Skills and Qualifications:

  • Demonstrated organisational skills, including the ability to coordinate tasks, meet tight deadlines, and determine priorities
  • Well-developed communication and interpersonal skills, together with the ability to build and maintain sound relationships with stakeholders at all levels
  • Relevant experience working in a confidential and high-volume work environment, along with experience in performing a range of tasks through digital tools
