We are seeking a skilled and experienced Support Specialist to join our team. This is a dynamic role that requires strong organizational and communication skills, as well as the ability to work effectively in a fast-paced environment.

Job Description

The Support Specialist will play a key role in providing administrative support to both technical and commercial teams. This will involve coordinating logistics for onsite visits, preparing materials for presentations and promotional events, setting up new client accounts in internal systems, and generating quotations.

The successful candidate will also be responsible for initiating and coordinating sample requests for client projects, generating self-serve documents such as Technical Data Sheets, Safety Data Sheets and Halal/Kosher Finished Goods certificates using internal systems, and requesting and downloading Halal/Kosher certificates for raw materials as needed.

Key Responsibilities
  • Administrative Support:
  • Coordinate travel arrangements for technical and commercial teams.
  • Organize and support technical/commercial meetings, company events, conferences and onboarding materials for new team members.
  • Raise purchase requisitions based on the needs of technical and commercial teams.
  • Coordinate onsite services and maintenance (e.g. Cleaners, gardeners, Air-Conditioning etc).
  • Arrange care packages (e.g. birthday gifts, get-well baskets, condolence wreaths) for team members.
  • Perform additional ad-hoc administrative tasks as required.
  • Sample and Documentation:
  • Initiate and coordinate sample requests for client projects.
  • Generate self-serve documents such as Technical Data Sheets, Safety Data Sheets and Halal/Kosher Finished Goods certificates using internal systems.
  • Request and download Halal/Kosher certificates for raw materials as needed.
  • Account Management:
  • Support the commercial team in client-related activities.
  • Set up new client accounts in internal systems.
  • Prepare pricing requests and generate quotations.
  • Coordinate with the customer service team to ensure pricing and system records are up to date for purchase order processing.
  • Provide support to sales support specialists and account managers during their absence.
Requirements
  • Minimum 3-5 years of administrative experience.
  • Strong organizational and time management skills.
  • Proven experience with calendar management and scheduling tools.
  • Excellent interpersonal skills.
  • Demonstrates a strong desire for professional growth and a willingness to take on new challenges.
  • Detail-oriented, resourceful and capable of solving problems independently.
  • Able to handle sensitive and confidential information with professionalism and discretion.
  • Adaptable and flexible in managing shifting priorities.
  • Self-motivated, proactive and customer-focused with a creative mindset and strong sense of initiative.
  • Proficient in Microsoft Office Suite.
