**Executive Assistant Role Overview**

We are seeking a highly skilled and experienced Executive Assistant to provide high-level administrative support to our Director and Infrastructure Leadership Team. This is an exciting opportunity to gain exposure to various areas across the organization.

The ideal candidate will have excellent organizational and communication skills, with the ability to multitask and work under pressure. Proficiency in Content Manager or similar record-keeping software, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Strong interpersonal skills and the ability to interact effectively with various stakeholders are also required.

Key Responsibilities:

  • Manage the Director's calendar, schedule meetings, and coordinate appointments.
  • Prepare and proofread correspondence, reports, and presentations.
  • Schedule, organize, and facilitate meetings, including preparing agendas and taking minutes.
  • Ensure follow-up actions are completed and track progress on decisions made during meetings.
  • Prepare, format, and distribute various documents and reports as required by the Director.
  • Maintain and organize departmental files and records, ensuring accuracy and confidentiality.
  • Assist with projects and initiatives as directed by the Director.
  • Serve as a liaison between the Director and internal/external stakeholders.
  • Coordinate and manage interactions with Councillors.

Requirements:

  • Proficiency in Content Manager or similar record-keeping software.
  • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to multitask and work under pressure.
  • Attention to detail and accuracy.
  • Strong interpersonal skills with the ability to interact effectively with various stakeholders.
