Duties

As a support professional you will:

  • Effectively manage diaries including screening meeting requests, negotiating scheduling times and resolving clashes in a way that facilitates optimal use of senior leaders' time.
  • Monitor inboxes for senior leaders to provide informed decision making and planning, including notification of urgent emails and time-sensitive priorities.
  • Provide logistical support for direct report team members of senior leaders, including onboarding and offboarding processes.
  • Manage information and coordinate follow-up actions using discretion, initiative and confidentiality to enable sensitive matters to be dealt with appropriately.
  • Support administrative operations including managing travel arrangements for senior leaders as required, including coordinating approvals, itineraries and payment.
  • Provide event management support for senior leaders' direct report teams, including coordination of logistics, catering, venue and tech equipment management, distribution of papers and liaison with guests.
  • Process procurement activities including payment of invoices and creation of purchase requisitions as appropriate for senior leaders.
  • Manage purchases via Purchase Card, completing the reconciliation process for senior leaders.
  • Collaborate with the support community, sharing technical knowledge and ways of working to drive efficiencies across teams.
  • Support senior leaders' teams with project-related tasks as required, in alignment with development goals.
Skills & Qualifications
  • Suitable tertiary qualifications or equivalent experience in administration or related field.
  • Highly proficient in Microsoft Office 365 Products.
  • Broad range of experience in executive support in a corporate environment.
  • Strong organization and coordination skills.
  • Ability to prioritize on behalf of senior leaders.
  • Ability to manage stakeholders on behalf of senior leaders.
  • Ability to solve problems.
  • Ability to manage confidential information.
  • Ability to build and maintain strong relationships and networks across the business.
