Job Description

We are seeking a highly skilled Key Operations Manager to join our team. In this role, you will be responsible for providing high-level executive support to the Chief Operations Officer, managing core business processes and documentation systems, and facilitating the delivery of critical team meetings, forums, and reporting.

Main Responsibilities:
  • Provide Executive Assistance to the COO, including calendar management, travel arrangements, board reporting, presentations, and email management
  • Coordinate regular operations meetings and forums across the business
  • Manage the Operations Quality Documentation and RL Hub (SharePoint), ensuring all processes, policies, and templates are accurate, compliant, and up-to-date
  • Own the Life@Levande resident journey documentation and ensure integration into business-as-usual practices
  • Support project delivery, state forums, and the annual Retirement Living Council Census
  • Oversee Melbourne office operations, including amenities, invoices, contractor liaison, and staff onboarding/offboarding
Required Skills and Qualifications
  • You're a natural organiser and problem-solver, with an eye for detail and a calm, professional presence. You thrive in a fast-paced environment and take pride in keeping others informed, supported, and equipped to succeed.
  • At least 3 years' experience in high-level administration or coordination roles
  • Strong skills in document management, executive support, and business reporting
  • Experience maintaining SharePoint and proficiency in Microsoft Office
  • Confidence engaging with senior stakeholders and managing confidential matters
