Job Title

Administrative Support Specialist

About the Position

We seek a highly organized and efficient individual to provide administrative support to our senior team member.

The successful candidate will be responsible for managing diaries, monitoring correspondence, drafting communications, coordinating meetings and supporting the planning and delivery of stakeholder events and engagement initiatives.

  • Monitoring the schedule of our senior team member to ensure timely provision of support and/or information
  • Facilitating meetings and visits with donors and stakeholders by liaising with our staff and external contacts
  • Assisting with engagement activities for major donors and prospects by coordinating bespoke events, diarizing and facilitating gifts or communications to mark donor milestones
  • Supporting our senior team member to monitor and maintain systems for reconciling expenses, completing compliance documents and supporting departmental budgets
  • Working closely with teams on the delivery of international fundraising initiatives
Requirements

To be successful in this role, you will require:

  • A relevant tertiary qualification
  • Good knowledge and skills in office administration
  • Experience with MS Office products including MS Word, Excel, PowerPoint and Project, and Adobe Suite
  • Ability to manage appointments and schedules, handle and prioritize telephone calls and complex correspondence, and organize files and information
  • Previous experience with Tessitura would be advantageous
