The Opportunity
We are seeking an experienced Secretary to join our Melbourne Real Estate team, supporting Jane Hodder, Office Managing Partner, and team of lawyers. As a Legal Assistant, you will play a pivotal role in the team and be a trusted adviser for the wider firm with all administrative matters relating to the Real Estate practice group.
Your Key Responsibilities
- Manage Partners' internal and external appointments, including diary management.
- Organise national and international travel, including arranging visas where required.
- Assist the wider Real Estate team with any ad-hoc administrative tasks.
- Manage Partners' inbox and respond when required.
- Take full ownership of files on iManage, including opening and closing files.
- Manage billing processes for your direct team.
- Assist with the organisation of meetings, large-scale events, and seminars.
- Draft internal and external communication on behalf of the Partner.
- Assist with document creation, editing, formatting, and finalisation.
- Mentor Administrative Assistants.
- Liaise with clients and internal stakeholders by phone, email, and in-person using a very professional and personable manner.
Requirements
- At least 3 years' Secretary or Personal Assistant experience.
- Proven ability to uphold a high level of confidentiality.
- Impeccable attention to detail.
- Adaptability and the ability to think on your feet in a fast-paced environment with changing deadlines.
- Tech-savviness with a sound understanding of Microsoft Office Suite.
- Previous experience in extensive calendar and inbox management.
- Ability to anticipate Partner requirements to reduce administrative time.
- Strong written and verbal communication skills with a demonstrated ability to build effective relationships with stakeholders.
