Job Description

Job Title: Administration Team Leader

Job Summary:

We are seeking an experienced and proactive leader to drive administrative excellence and team success in our Wollongong Branch. As an Administration Team Leader, you will play a key role in ensuring efficient administration within the Region, providing administrative support to direct reports, cost control, and delivering timely and accurate reporting.

Key Responsibilities:

  • Administrative Process Development: Develop and maintain administrative processes, ensuring tasks are completed accurately and on time, and manage confidential information securely.
  • Financial and Operational Reporting: Prepare and provide timely financial and operational reports, manage business processes using data, and track performance against contract KPIs.
  • Quality and Compliance: Ensure adherence to quality standards and company policies, protect company assets and reputation, and manage secure storage of information.
  • Procurement and Supplier Management: Develop and maintain an efficient procurement process, manage supplier relationships, and implement cost-saving measures.
  • Vendor Management: Reconcile vendor accounts, process and track invoices, and ensure timely payments and accurate vendor information.
  • Process Improvement: Identify opportunities to streamline administrative tasks.

Requirements:

  • Administrative Leadership Experience: Proven experience in an administrative leadership role with strong organizational skills.
  • Communication and Interpersonal Skills: Excellent communication, interpersonal, and team management abilities.
  • Timesheet Management: Timesheet management for employees and contractors.
  • Vendor Liaison: Reconciling and liaising with clients and vendors to resolve billing or payment issues.
  • Administrative Tasks: Performing administrative tasks, including scheduling, reporting, and documentation.
  • Dynamics D365 Experience: Previous experience with using Dynamics D365 preferred.
