Job Opportunity

The role of Office Support Specialist is crucial in ensuring a professional and efficient operation of an office within a global services firm. This position is ideal for individuals who thrive in dynamic environments and can contribute to continuous improvement.

Key Responsibilities:
  • Provide front-of-house support including meeting clients, managing meeting rooms, preparing refreshments, and maintaining presentation standards of meeting spaces.
  • Maintain the overall appearance of the office, including kitchen and communal staff areas.
  • Manage couriers, incoming and outgoing mail, phone calls, and general inquiries.
  • Coordinate with building management and facilities.
  • Oversee office supplies and equipment, including stock control and budget adherence.
  • Ensure compliance with health and safety standards, acting as a point of contact for security and fire safety.
  • Organize and coordinate client-facing and internal events, including venue booking, liaising with suppliers, and coordinating logistics.
  • Provide administrative support to senior leadership and other administrative staff, including calendar management, travel arrangements, timesheet coordination, and document preparation.
Requirements:
  • 3–5 years' experience in an office administration role, preferably in a professional services environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
  • High level of attention to detail and commitment to quality.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills, with the ability to manage competing priorities.

This is a full-time, office-based role in Melbourne. The successful candidate will have excellent interpersonal skills and be able to work collaboratively as part of a small team.
