Job Description:

The Conference and Events Director is responsible for overseeing the day-to-day operations of conferences and events venues. This includes ensuring excellence in service and operations, exceeding guest expectations, improving rapport with existing clients, and creating new business opportunities.

Key Responsibilities:
  • Take direction from senior management and maintain a proactive approach.
  • Direct, supervise, and coordinate operational activities to ensure smooth and efficient functions.
  • Guarantee departmental compliance with policies, procedures, guidelines, and manuals to ensure safety and profitability.
  • Maintain accurate statistical records and reporting.
  • Control departmental expenses within set targets.
  • Cultivate a sales culture, maximizing up-selling and on-selling techniques.
  • Ensure effective communication within the department and with other departments for event planning and follow-up.
  • Maintain stock levels to ensure all functions run smoothly.
  • Establish and uphold standards for back of house areas focusing on functionality and cleanliness.
  • Conduct site inspections as necessary.
  • Ensure all charges are correctly posted to relevant accounts for functions.
  • Manage hotel assets to protect their long-term value.
  • Identify and optimize opportunities to improve the business.
  • Ensure team members are adequately trained to assist across venues daily.
  • Maintain full knowledge of venue's computer/IT systems.
  • Supervise and assist colleagues to ensure high productivity and service standards.
  • Support a positive service environment to meet and exceed guest and team member expectations.
  • Proactively resolve issues to prevent complaints.
  • Implement quality control systems, including shift checklists and procedural revisions.
  • Stay updated with venue, hotel, and event information, communicating changes to the team.
  • Report, review, and address incidents, injuries, and hazards with preventative measures.
  • Promote venue properties to guests whenever possible.
  • Act as a brand ambassador for the venue, hotel, and hospitality industry.
  • Assist other departments and colleagues when needed.
  • Attend all scheduled meetings, training, and development programs.
  • Provide efficient, friendly, and professional customer service to all guests.
  • Respect all guests and colleagues from diverse cultural backgrounds.
