The Role of a Client Care Coordinator

You will serve as a key liaison between pet families and veterinary clinics, ensuring a seamless and empathetic experience throughout the pet aftercare process.

Key Responsibilities

  • Provide exceptional customer service across various channels including phone, email, online chat, bookings, and social media platforms.
  • Coordinate pet viewings, ash collections, and client visits with professionalism and attention to detail.
  • Prepare pets and viewing rooms to meet high standards.
  • Liaise with internal teams to guarantee smooth service delivery and excellent outcomes.
  • Manage client payments efficiently, including Zip Pay and Vet Pay options.
  • Schedule and coordinate vet, home, and office collections effectively.
  • Maintain accurate records of client and vet data.
  • Assist with reporting, manifests, and travel logistics.
  • Ensure adherence to hygiene, safety, and presentation standards.
  • Participate in team meetings and contribute to ongoing improvement initiatives.
  • Support new veterinary clinic inductions and assist with client follow-ups.

Requirements for Success

  • A caring and emotionally intelligent individual with strong interpersonal skills.
  • Excellent communication and customer service skills are essential.
  • Ability to lift moderate weights (up to 20 kilos) and stand for extended periods.
  • Q Fever vaccination or willingness to obtain it.
  • A high level of attention to detail and ability to follow procedures accurately.
  • Comfortable working in emotionally sensitive environments.
  • Capacity to work independently and collaboratively within a team.
