Delivering Exceptional Client Experiences
The Workplace Coordinator is a pivotal role in providing authentic service experiences that bond the relationship between our client, their guests, and our organization.
As the first point of contact, they welcome employees with genuine hospitality and thoughtful services, building rapport with clients and ensuring their needs are met to minimize escalations.
They support internal general services for staff across various disciplines, including property, facilities, ergonomics, emergency preparedness, event management, desk and parking booking, meeting rooms, AV/VC issues, and building orientation.
The Coordinator ensures adherence to workplace guidelines, creating a welcoming, safe, and productive environment.
They build strong relationships with stakeholders, respond to feedback, assist in coordinating and delivering day-to-day office premises operations.
Displaying flexibility, they ensure coverage on conference centre floors and maintain work standards during high volume workloads.
They provide guidance to colleagues on navigating self-service functions for technical support, such as security, safety, and IT issues.
The Coordinator ensures meeting room floors are maintained in pristine condition, setting up rooms ready for each booking and liaising with suppliers for catering, AV, etc.
They utilize stakeholder relationships to identify opportunities to expand service offerings, e.g., project delivery, trade self-delivery services, and take steps to raise this with their Line Manager for further consideration and potential client discussions.
Manage the mailroom and deliver administration & logistic support, enhancing employee experience through onsite services and business administration support.
Drive digital influence within departments, providing options for scanning incoming mail and cheques to a digital mailbox and maximizing digital distribution of correspondence.
Key Responsibilities:
- Provide exceptional customer service and support to clients and colleagues
- Ensure seamless delivery of workplace services, including desk and parking booking, meeting rooms, and AV/VC issues
- Maintain accurate records and reports, ensuring compliance with company policies and procedures
- Develop and maintain strong relationships with stakeholders, including clients, colleagues, and external partners
- Contribute to the development and implementation of departmental goals and objectives
Requirements:
- Proven experience in a customer-facing role, preferably in a fast-paced environment
- Excellent communication and interpersonal skills, with the ability to build strong relationships with clients and colleagues
- Ability to work independently and as part of a team, with a flexible approach to workload and priorities
- Strong problem-solving and analytical skills, with the ability to resolve complex issues and make informed decisions
- Proficient in using technology, including Microsoft Office and other relevant software applications
