Job Description

We are seeking a highly skilled and motivated Patent Assistant to provide administrative support to our attorneys in the Engineering/ICT or Chemical/Life Sciences teams.

Key Responsibilities:
  • Maintain data in our case management system (maintaining accuracy and up-to-date records)
  • Draft and prepare correspondence and liaise with clients and associates on behalf of attorneys (communicating effectively with stakeholders)
  • Create, finalize and distribute invoices, including submitting to client specific portals (managing financial transactions)
  • Produce, amend and prepare official documentation for lodgement (preparing and filing documents)
  • Conduct document research and/or obtain status reports through IP databases and IP Australia (conducting research and gathering information)
  • Provide administrative support to attorneys by managing tasks that enhance efficiency and ensure timely completion of work, including tracking daily and weekly deadlines and overseeing workflow (supporting team members to achieve goals)
Requirements:
  • At least 2+ years' secretarial or administrative experience in intellectual property or professional services (proven experience in a relevant field)
  • Experience with Microsoft Office Suite (Intermediate level) particularly Word and Outlook (proficient in using software tools)
  • Experience with task management system (preferable) and a high degree of IT Literacy (ability to use technology effectively)
  • Excellent attention to detail, time management, and strong written/verbal communication skills (communication and organizational skills)
  • A proactive attitude with a keen interest in professional learning, growth and development (commitment to ongoing learning and development)
  • The ability to problem-solve and collaborate with staff members to ensure individual and shared goals are met to a high standard with minimal supervision (teamwork and problem-solving skills)
  • Ability to work in a fast-paced environment, consistently meeting tight deadlines and adapting to shifting priorities (ability to work under pressure)
