We are seeking a highly skilled and organised Administrative Support Specialist to join our team in Brisbane.

This full-time position is responsible for providing high-level administrative and operational support to ensure the smooth functioning of our services. As an Operational Coordinator, you will work closely with our team, clients, and management, playing a vital role in supporting day-to-day operations, client service management, and NDIS processes.

Key Responsibilities:

  • Provide comprehensive administrative support to our team, including answering phones, managing emails, and coordinating calendars.
  • Assist with scheduling appointments, client onboarding, and communication between clients, families, and staff.
  • Maintain accurate client records in compliance with NDIS and company standards, ensuring data integrity and confidentiality.
  • Process NDIS-related documentation, including service agreements, consent forms, and reports.
  • Use Splose to manage invoices, NDIA/PACE claims, and coordinate financial documentation.
  • Provide support with invoicing, processing payments, and following up on outstanding payments.
  • Assist with the coordination of internal meetings, workshops, and training sessions.
  • Maintain office supplies, assist with equipment and IT troubleshooting, and perform general office duties.
  • Provide backup support to the finance team as required.
  • Collaborate with other team members to continuously improve administrative processes and workflows.

Salary and Benefits:

We offer a competitive salary package of $60,000 - $70,000 per annum, depending on experience, plus benefits such as ongoing professional development and training opportunities, a supportive and inclusive work culture, and a opportunity to be part of a growing company making a real impact in people's lives.

Requirements:

  • Previous experience in an administrative role, ideally within the healthcare or NDIS sector.
  • Familiarity with NDIS frameworks, service agreements, and claims processing (desirable but not essential).
  • Strong organisational skills and the ability to manage multiple tasks and priorities in a fast-paced environment.
  • High level of accuracy and attention to detail, particularly in data entry and financial processes.
  • Excellent communication and interpersonal skills, with a customer-focused approach.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and practice management software (Splose experience is a bonus).
  • Ability to work autonomously as well as collaboratively within a team environment.
  • Problem-solving mindset, proactive, and willing to take initiative.
