Job Summary

We are seeking a highly skilled and experienced Orthodontic Practice Manager to join our team. The successful candidate will be responsible for leading the operations and people management at our practice, ensuring that we deliver exceptional patient care and maintain a positive workplace culture.

Key Responsibilities
  1. Operational Delivery:
  • Manage and coordinate all aspects of daily operations, including scheduling, patient flow, and clinic workflows.
  • Collaborate with the Operations Manager to ensure compliance, clinical governance, and industry regulations are met and implemented.
  • Oversee rostering, leave compliance, and optimization of workforce hours.
  • Support the fortnightly pay process.
  • Manage inventory and ensure stock availability.
  • Address practice disruptions and troubleshoot for solutions.
  • Maintain the business continuity and disaster recovery plan.
  • Uphold a professional and clean workplace environment in line with our standards.
Team Development:
  • Set the standard and coach team leaders to deliver the desired patient experience.
  • Mentor team leaders to build their leadership capability and develop their teams.
  • Identify training needs and work with stakeholders to create and deliver targeted programs across the practice.
  • Conduct daily huddles and identify content for monthly training sessions to meet practice needs.
Lead the People Experience:
  • Collaborate with the People & Culture Director to implement and deliver the annual performance management process.
  • Identify talent and work with the people team to build succession plans for key roles.
  • Role model and embody our purpose and values.
  • Act as a culture ambassador to create a differentiated workplace culture where teams can thrive.
Grow the Practice:
  • Operationalize marketing activity and maximize its effectiveness in both practices.
  • Coach teams on their role in revenue generation and communicate targets and results.
  • Share key patient metrics, results, and opportunities for improvement.
Projects:
  • Support projects as required.
Requirements
  1. Bachelor's degree in healthcare administration or a related field is desirable.
  2. Minimum of 5+ years in Orthodontic practice management or operations.
  3. Proven clinical experience in orthodontics with a strong understanding of the industry, including healthcare regulations, compliance requirements, and industry standards.
  4. Demonstrated leadership capability and experience managing diverse teams across multiple sites.
