Job Description:

This role plays a key part in the Health Systems Team, reporting to the Health Systems Manager. The team is responsible for supporting the health systems and PHMO teams with administrative tasks.

The ideal candidate will have strong administration skills, including minute taking, office management, and organisational skills. They must also be able to work independently and as part of a team.

Key Responsibilities:
  • Administrative Support:
    • Schedule meetings, appointments, and events for the Health Systems and PHMO teams.
    • Prepare minutes, reports, presentations, correspondence and newsletters as required for the Health Systems and PHMO teams.
    • Assist with event organisation, travel arrangements and expense tracking.
  • General Office Duties:
    • Coordinate general office supports for the Alice Springs staff.
    • Manage office supplies inventory and place orders as needed.
    • Maintain office filing systems (both electronic and physical).
    • Assist in ensuring Alice Springs vehicles are maintained and repaired as required.
    • Process invoices and assist with accounts payable/receivable tasks.
Selection Requirements:
  • A high level of minute taking, office administration and organisational skills, including application of standard Microsoft office programs such as Word and Excel.
  • Excellent spoken and written communication skills.
  • Experience in records management procedures, protocols and practice.
  • Project management and logistic skills particularly around organising large meetings.
  • Awareness and respect of Aboriginal culture and knowledge of current issues affecting the lives of Aboriginal people.

Additional Information:

  • Applicants must be able and willing to undertake travel throughout the NT and Interstate.
  • Original qualifications must be available for viewing and copies to be kept on personnel file.
