About the Role
We are seeking an experienced full-time Receptionist & Office Services Assistant to join our Brisbane office. The successful candidate will be responsible for ensuring the smooth and efficient running of the Client Floor, Reception, and day-to-day office operations.
Key Responsibilities
- Undertake receptionist duties to enhance Lander's capacity for delivering high-quality, customer-centric services.
- Greet clients and visitors, answer inquiries, and manage visitor experience.
- Answer and route incoming calls, schedule, and route clients.
- Manage meeting room bookings and schedules via Outlook and transition to the new booking system upon rollout.
- Reset rooms for events and functions to accommodate various setups and requirements.
- Organise and book catering orders.
- Collaborate closely with the Catering Manager based in Melbourne and their team.
- Oversee daily running of the office, including maintenance, streamline facilities-related communications, and ensure a clean, safe, and efficient working environment.
- Conduct health and safety audits, manage risk assessments, and ensure adherence to safety protocols and the Preventative Maintenance Schedule.
- Maintain up-to-date First Aid and Warden registers to ensure preparedness across all offices.
- Coordinate with external service providers and manage vendor relations to support the Facilities Manager in operational tasks.
- Conduct routine checks of the client floor, raise service requests as needed, and adhere to opening/closing procedures daily.
- Serve as a liaison between the business, Reception, Catering, and Facilities teams.
- Oversee office management tasks such as conducting office tours, managing stationery orders, uploading and coding invoices, and kitchen oversight.
- Manage security, including access cards, CCTV cameras, and staff lockers.
- Maintain the firm's archives accurately as required.
About You
You must possess strong interpersonal and communication skills, with the ability to connect with external clients, peers, and other staff members effectively. You are a positive person with a strong work ethic, able to multi-task and prioritize your work. Great attention to detail is essential. You will ideally have 5 years' experience in a similar role and a willingness to learn. Computer experience is essential, and knowledge in the legal industry is beneficial.
