Job Description

We are seeking a highly experienced Business Operations Assistant to join our Melbourne office team. As a Business Operations Assistant, you will play a critical role in supporting the day-to-day operations of the office, working closely with the Executive Assistants to ensure seamless delivery of administrative tasks.

The successful candidate will possess a strong background in administration, with a minimum of 2-3 years' experience in an administrative or office coordinator role. They will also have excellent communication and problem-solving skills, with the ability to work independently and as part of a team.

Key responsibilities include:

  • Supporting the Office Lead with corporate finance team activities, including client events, team administration, and Senior Managing Director support
  • Managing internal and committee events
  • Assisting Managing Directors with expenses, timesheets, and travel arrangements
  • Answering phone calls and acting as backup support for reception
  • Covering reception lunch breaks and leave
  • Processing accounts payable invoices
  • Reconciling corporate credit card statements
  • Managing the archiving process via Iron Mountain
  • Acting as warden for emergency evacuation procedures
  • Assisting EAs with overflow admin work as needed
  • Continuously improving general office procedures for efficiency
  • Providing administration support to all office staff as needed
