Key responsibilities of a Community Manager include overseeing all phases of property operations, including personnel functions, leasing, community maintenance, market monitoring, fiscal oversight, advertising, and resident relations.
About this roleUnder the supervision of a Regional Manager, you will be responsible for ensuring the effective management of an income-producing property. This includes developing a high-performing team, inspecting property common areas and apartment units, recommending improvements to the overall operation, and ensuring timely and accurate submission of payroll summary sheets.
Key Responsibilities:- Administrative Functions:
- Collaborate with the Regional Manager to develop an integral team that effectively promotes the organization's quality and professionalism.
- Conduct regular inspections of property common areas, apartment units, and grounds to ensure they meet company standards.
- Provide recommendations to management regarding improvements to the overall operation of the community.
- Ensure effective move-in and move-out administration with particular attention to consistent apartment inspections.
- Demonstrate understanding of financial and operational reporting requirements.
- Responsible for ensuring the timely and accurate submission of payroll summary sheets for the team.
- Financial Management:
- Collect rent payments from both current and previous residents.
- Manage daily community deposits in regard to rent collections and other miscellaneous income.
- Issue non-payment notices to delinquent residents and complete follow-up activity as necessary.
- Adhere to company accounting directives, including weekly and monthly reports, income accounting, expense control, and administration.
- Maintain a general working knowledge of federal and state laws related to delinquent account collection.
- Review all renewals and prepare budget increase recommendations based on operating budgets and market conditions.
- Prepare and follow guidelines of the community operating budget and make recommendations to maximize income and minimize expenses.
- Marketing and Leasing:
- Market apartments by promoting rentals over the phone and in person; demonstrate apartments and community to prospective residents, sell apartment features/benefits, secure commitments and deposits from prospective residents.
- Input all resident information in relation to leasing traffic, move-ins, move-outs, apartment conditions, etc.
- Complete residential lease administration accurately, ensuring that all leases and addenda are completed correctly in regard to addresses, names, rates, etc.
- Maintain up-to-date knowledge of market and competitive properties.
- Renew existing residents' leases in a timely manner.
- Support the overall marketing efforts and provide input and suggestions for promotions, advertisements, etc.
- Analyze and monitor community market conditions to anticipate changes or trends that may affect profitability.
- Monitor closing ratios of leasing associates to ensure requirements are met and provide additional training as necessary.
- Supervise the planning and implementation of various community recreational and social activities.
- Ensure staff is implementing resident retention and renewal programs to build long-term customer relationships.
- Inspect property common areas, models, and vacant units regularly and complete community inspection reports.
- Review and approve or reject resident applications.
- Leadership and Supervision:
- Assist the overall team effort through effective leadership.
- Analyze concerns associated with slow-leasing apartments and provide solutions.
- Assume supervisory responsibilities and manage the property.
- Identify and address issues associated with a supervisory position, including hiring, training, coaching, and evaluating on-site employees.
- Provide staff with direction, guidance, and tools to perform well and conduct regular staff meetings.
- Customer Service:
- Handle resident service requests and concerns as needed.
- Follow up with new and current residents to establish and maintain positive resident relations.
- Ensure residents receive a clean, safe, and well-maintained community.
- Prepare security deposit dispositions consistently after move-out.
- Maintain high standards of resident service and relations.
- Collect rents accurately and account for all monies in a timely manner.
- Collect delinquent rents and notify supervisors to initiate unlawful detainer actions as appropriate.
- Ensure timely handling of maintenance requests, notifying residents if parts must be ordered and regional managers if work orders are not resolved within 48 hours.
- Supervise contractors working on the property.
- Represent the company professionally and maintain a positive attitude in person and on the telephone.
- Adhere to Fair Housing Policy, ADA, Injury and Illness Prevention Policy, and Asbestos and Hazardous Materials Policy.
- Perform other duties as assigned.
- Assist in promoting the company.
- Attend and participate in training seminars as requested and ensure all on-site staff completes necessary courses.
- Work effectively as part of a team.
- Supervisor Responsibilities:
- Supervise Community staff in accordance with organizational policies and applicable laws.
- Appraise performance, reward, and discipline employees.
- Address complaints and resolve problems.
What We're Looking For:
Our ideal candidate has experience in property management software preferably Entrata and professional experience with Property Marketing. A minimum of 2+ years of experience in property management is required along with strong Customer Service skills and a Professional Appearance.
