Procurement Specialist Job Description

The Procurement Specialist plays a critical role in ensuring timely delivery of high-quality products to our customers. This position is suitable for someone who thrives on attention to detail and is adept at navigating systems.

This individual will be responsible for:

  • Placing purchase orders with suppliers
  • Verifying the accuracy of purchase orders through systematic checks and timely updates
  • Monitoring delivery schedules and critical purchase orders to proactively communicate delays and risks to stakeholders
  • Managing late orders, addressing general order inquiries, and assisting in resolving product returns
  • Processing factory consignment stock in our system and coordinating stock distribution with suppliers
  • Confirming shipments for new collections to ensure alignment with goals
  • Coordinating factory shipments, including consolidation of loads and verification of packing lists
  • Ensuring all import/export documentation is accurate and compliant with regulations
  • Processing receipt of goods while identifying and resolving discrepancies
  • Managing systematic warehouse movements to maintain accurate and up-to-date inventory
  • Coordinating warehouse stock takes and updating the inventory system accordingly
Required Skills and Qualifications
  • Educational Background: Preferred degree in Business Administration, Supply Chain Management, or related fields, or equivalent professional experience
  • Minimum 3 years' experience in a procurement, supply chain, or logistics coordination position
  • Order Management: Proven track record of effectively managing supplier orders, ensuring timely deliveries, and addressing any delays or discrepancies
  • Communication Skills: Strong verbal and written communication abilities, capable of fostering effective relationships with internal teams and suppliers
  • Work Environment: Ability to thrive in a fast-paced environment while demonstrating excellent organizational and prioritization skills
  • Problem-Solving: Exceptional problem-solving capabilities and meticulous attention to detail
  • Technical Proficiency: Skilled in Microsoft Excel, including spreadsheet management and data analysis tasks
  • Software Experience: Familiarity with ERP systems is essential
  • Adaptability: Willingness to work in a dynamic setting where priorities can change rapidly; agility, resilience, and a positive attitude are crucial
