We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our Senior Vice President & Managing Director International (SVP) and provide essential administrative and operational assistance to our International Leadership Team.
This is a critical role that requires strong executive support skills, excellent communication and interpersonal skills, and the ability to work in a fast-paced environment. The ideal candidate will have 5+ years of experience in executive support, office management, or business administration, preferably for a multinational across international time zones.
The successful candidate will be responsible for managing executive priorities, streamlining business operations, and ensuring the seamless functioning of our Melbourne office. This includes handling scheduling, travel coordination, expense processing, and communications, as well as overseeing office facilities and administrative processes.
As a trusted partner to the SVP, the Executive Assistant/Office Manager will handle end-to-end travel logistics, including flights, accommodations, and visa arrangements. They will also support new employee onboarding, including workspace setup and office orientation.
Key Responsibilities:
- Provide high-level executive support to the SVP, including calendar management, travel coordination, and expense processing.
- Assist the International Leadership Team with administrative tasks, document preparation, and project coordination.
- Prepare reports, presentations, and correspondence for executive use.
- Oversee office operations, facilities, and relevant vendor management to maintain an efficient workplace.
- Handle office procurement, budget tracking, and invoice processing.
- Manage end-to-end travel logistics, including flights, accommodations, and visa arrangements.
- Support new employee onboarding, including workspace setup and office orientation.
Requirements:
- 5+ years of experience in executive support, office management, or business administration.
- Strong executive support skills, including calendar management, travel coordination, and expense processing.
- Excellent communication and interpersonal skills.
- Ability to work in a fast-paced environment.
- Proficiency in MS Office Suite, with SAP By Design or ERP experience preferred.
