Job Title: Travel Coordinator

 

About the Role:

The role of the travel coordinator is to oversee all travel arrangements and expenditures for a global organization. This involves guiding other travel coordinators worldwide to ensure compliance with company policies.

This position will be based in Sydney Olympic Park, Australia and will report directly to the Chief Financial Officer.

Key Responsibilities:
  • Arrange flights, car rentals, transfers, and other travel accommodations for staff with approved travel requests.
  • Implement and maintain comprehensive travel insurance coverage.
  • Collect monthly expense reports from staff, assist with reconciliation, organize approval and payments, and record within our ERP system (MS Axapta).
  • Reconcile monthly credit card statements.
  • Develop and maintain accurate travel and expense claim policies.
  • Prepare detailed monthly travel reports with meaningful KPIs across the globe.
  • Implement new travel booking tools and processes globally to reduce travel expenditure per employee.
  • Provide general administrative and clerical support, including answering phones, greeting visitors, and organizing meetings as needed.
Requirements:
  • Previous experience managing travel arrangements for numerous employees in multiple countries.
  • Expertise in booking travel requests.
  • Knowledge of COVID-19 regulations and visa requirements worldwide.
  • Familiarity with travel restrictions and sanctions related to international travel.
  • Demonstrated administration experience with a strong focus on customer service.
  • Accounts reporting and reconciliation expertise.
  • International shipping and freighting knowledge.
  • Proficiency in MS Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills, as well as problem-solving abilities.
  • Able to provide exceptional customer service and build strong relationships internally and externally.
  • Ability to multitask and work efficiently under pressure.
