Executive Support Professional

We are seeking an exceptional Administrative Assistant to provide high-quality support to our leadership team.

This role will involve delivering seamless administrative services, fostering a positive and welcoming environment, and ensuring a smooth flow of information and collaboration among team members.

Key Responsibilities
  • Act as the first point of contact for the Executive Director, managing enquiries and responding on their behalf when required.
  • Facilitate meetings and correspondence for the Executive Director and their team, coordinating responses and following up outstanding matters.
  • Research, analyse, collate, and provide information to support informed decision making and planning.
  • Schedule, organise, prioritise, and attend meetings to provide support.
  • Form and maintain collaborative relationships with other teams and stakeholders.
  • Manage communications, including board reports, agendas, minutes, and email communications.
  • Handle confidential matters with discretion.
  • Coordinate business-related travel and conference/seminar attendance.
  • Participate in professional networks and forums appropriate to the role.
Requirements
  • Certificate IV or higher in Business Administration or equivalent.
  • 5 years+ experience at a senior executive assistant level.
  • Proven ability to build effective relationships with employees, volunteers, and other stakeholders.
  • Advanced computer skills, including keyboarding speed and accuracy, and in-depth knowledge of MS Office Suite.
  • Comprehensive knowledge of executive office administrative practices and procedures.
  • A high level of discretion to deal with highly confidential and sensitive information.
  • Proven adherence to legislation, policies, and procedures.
