Job Title: Event Coordinator

About the Role:

You will be responsible for coordinating event planning, production, logistics, and administration to produce a successful event. Your main focus will be engaging and managing volunteers who support trekkers on event day.

As a key team member, you will have the opportunity to work closely with charity partners, coordinate marketing materials, and ensure corporate support is organized for event days. Additionally, you will assist with smaller events and initiatives related to the main event.

Key Responsibilities:

  • Work closely with charity partners to engage, manage, and brief volunteers in the lead-up to event day.
  • Coordinate event day marketing materials needed for routes and 'Luv Stops' along the way with guidance from the marketing team.
  • Be hands-on with packing and unpacking event materials, being on-site, and handling all event-day-related tasks.
  • Ensure corporate marketing support is organized for event days.
  • Support smaller events/initiatives related to the main event such as pre-event nights and online webinars.
  • Update operational documents as required for volunteers, logistics, and trekker-related material (website, event plans, scoping documents etc.).
  • Assist event execution on event weekend.

Requirements:

  • High energy, initiative, and positive attitude.
  • Excellent communication skills and willingness to interact with volunteers and stakeholders.
  • Event and/or logistics experience.
  • Strong organizational and planning skills.
  • Availability to work some weekends and evenings aligning to the event calendar (this may involve interstate travel).
  • Valid driver's license (required for hire vehicle use).
  • Right to live and work in Australia.
  • Ability to follow procedures and identify areas for improvement.
  • Attention to detail and process of continuous improvement.
  • Advanced computer software and content management system skills.
  • Ability to manage priorities and quickly grasp new technology.
  • Exceptional written and verbal communication skills.
