Job Description:
Our team requires a highly skilled Administrative Support Specialist to provide executive-level support to our senior executives. As the first point of contact for our leaders, you will be responsible for managing their diaries, coordinating meetings, and preparing agendas and meeting documentation.
You will also oversee inboxes, task lists, and priorities, ensuring seamless communication and effective resource allocation.
In addition, you will prepare papers, correspondence, presentations, and other materials to support our executives' work.
Your role will involve collating and distributing meeting documents, attending meetings, drafting minutes, and tracking action items.
Furthermore, you will coordinate travel arrangements, book accommodations, and reconcile expenses.
You will also assist with event planning, procurement, and administrative tasks, ensuring compliance with regulatory requirements.

Required Skills and Qualifications:- Relevant vocational qualification in office or business management.
- Experience managing the diary and administrative requirements of senior executives in a government agency, financial services, or private sector organization.
- Ability to work autonomously, manage priorities, and coordinate resources to achieve outcomes.
- Experience preparing presentations using PowerPoint.
- Experience undertaking research, reviewing, and editing documents to assist with response preparation.
- Experience working with Microsoft products, including Outlook, Word, Excel, and PowerPoint.
- Experience working with SharePoint or similar content management databases.
- Ability to resolve problems, demonstrating analytical and decision-making capability.
- Ability to build and maintain working relationships effectively, liaising with colleagues and stakeholders.
