Executive Support Officer

We are seeking an organised and detail-oriented Office Administrator to provide administrative support to our team.
The ideal candidate will be self-motivated, able to prioritise tasks, and have excellent communication and interpersonal skills.
Key Responsibilities
- Provide first point of contact for inbound calls and emails from customers and suppliers
- Create new quotes and follow up in agreed time frame to drive conversion
- Create and schedule new jobs to relevant skilled field team members
- Communicate with customers on progress of jobs where necessary
- Liaise with field team to ensure the right information is being provided for each job in a timely fashion
- Manage pending, progress and completed jobs lists to meet KPIs
- Keep accurate records and document customer service actions and discussions
- Create and follow up of purchase orders and liaison with suppliers to ensure materials are readily available for jobs to be completed
- Complete CCEW's and other job safety documentation
- Maintain job and personnel safety records
- Support to management as directed
- Provide input and collaboration that drives the success of the business and supports a harmonious working environment
- Proven experience as an office administrator or in a similar role.
- Excellent organisational and time management skills.
- Strong attention to detail and ability to multitask.
- Experience in a trade business beneficial, but not essential.
- Experience with Simpro or other job management software beneficial, but not essential.
- Currently living in Australia with relevant visa or residency rights to work.
- Choose your hours (minimum 30 hours per week)
