Administrative Support Officer
We have an exciting opportunity for a dedicated and organised individual to join our centre management team. This role will provide high-level administrative support, including financial and administrative tasks, to ensure the smooth operation of the centre.
About the Role
This is a varied and fast-paced role with no two days the same. You will interact with a wide variety of individuals, providing an opportunity to showcase your excellent customer service and communication skills, as well as gaining experience in centre administration and operations.
Key Responsibilities
- Providing day-to-day administrative support for the centre management team
- Supporting the Administration Manager with administrative tasks, including assisting with monthly billing and debtor collection processes
- Maintaining effective records and file management, ensuring correct file location by classifying and archiving under team guidance
- Preparing centre accounts payable and monitoring expenditure
- Assisting in managing the public liability incident (PLI) process within Stockland guidelines
- Taking minutes at centre team meetings and facilitating team communication
- Maintaining strong relationships with centre retailers and contractors
- Acting as the initial point of contact for the centre management office, including handling telephone enquiries
Requirements
- Solid administration experience with a strong customer service focus
- An understanding of accounts payable would be preferred
- Attention to detail and a proactive approach, with the ability to multi-task and prioritise effectively
- Competent in Microsoft Office Suite (Outlook, Excel, Word), experience with record management systems, and comfortable learning new software
- Strong interpersonal and communication skills, able to work independently or as part of a team
- Ability to use initiative and maintain confidentiality as required
