
Business Operations Coordinator

This role provides high-level administrative support to the Chief Data & Technology Officer. If you are a highly organised and efficient individual with excellent communication skills, this could be the perfect opportunity for you.
Key Responsibilities:
- Coordinate the daily business of the Chief Data and Technology Officer by regularly reviewing diaries, meeting and travel demands and identifying possible issues which may impact on the activities of both Executives.
- Provide analytical support to determine and take appropriate action on behalf of the Chief, including the redirection of enquiries to appropriate personnel.
- Maintain client confidence and protect the professional integrity of the Chief by keeping information confidential.
- Communicate and liaise with senior executives from public and private organisations on a wide range of issues, respect confidentiality and maintain effective working relationships.
- Manage the flow of incoming / outgoing correspondence of both Executives.
- Coordinate meetings for the Chief's, including coordination of attendees, organising pre-briefs, presentations and speaking notes where required, and preparation of meeting minutes.
- Provide historical reference by developing and utilising filing and retrieval systems.
- Continually review duties and operations to ensure optimal efficiency in the business support role.
- Coordinate the arrangement of travel bookings for the Chief's and both divisions for travel in an efficient and cost-effective manner.
- Adhere to all policies and procedures to ensure compliance.
- Comply with Work Health & Safety policies and procedures and contribute to a safe and healthy work environment.
- Effective management of all recruitment with timely requests.
- Perform the role of Secretariat for the Data and Technology Governance Board.
- Provide support to the Director Technology Commercial and Contracts and Data and Technology division with the preparation of purchase order requests as required, assist with the team mailbox to ensure work is actioned in a timely manner, assist with preparation of documentation for contract and other related activities.

- Excellent communication and organisational skills.
- Able to work effectively in a fast-paced environment.
- Ability to maintain confidentiality at all times.
- Highly developed analytical and problem-solving skills.
- Strong IT skills, including proficiency in Microsoft Office Suite.
- Ability to work independently and as part of a team.
