About the Role

We are seeking a highly organized and detail-oriented Administrative Support Officer to join our Ambulance Operations team at St John WA. As a key member of our team, you will provide administrative support to the Manager Operational Support and General Manager, ensuring operational matters, department coordination, and outstanding administration tasks are completed.

Key Responsibilities
  • Assist the Manager Operational Support with tasks related to Key Performance Indicators (KPIs), ensuring timely completion and escalating issues as needed.
  • Organize and prepare meeting agendas for the department leadership team.
  • Provide support in developing administrative systems and procedures.
  • Support the Manager Operational Support in preparing new work processes to maximize department leadership time.
  • Support the department with correspondence, presentations, and reports; provide training and support to districts to achieve business objectives.
  • Review and update department information on internal platforms.
  • Perform ad-hoc tasks and project work as directed by the support manager.
  • Provide business and administration support to all aspects of the department, including:
    • Finding and booking meeting rooms.
    • Preparing meeting agendas and taking minutes to distribute to the team with action items.
    • Collaborating with internal teams to organize flights, transport, and accommodation for the department.
    • Organizing key team events and external events.
Requirements
  • Background in corporate, health, community, or commercial-based sectors (preferred).
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Knowledge of systems, tools, and processes within the ambit of this position.
  • Good problem-solving and organizational skills.
  • Strong accuracy and attention to detail, with demonstrated analytical skills.
  • Excellent communication skills, both written and verbal.
  • Highly developed ability to understand department functions and their interrelatedness.
  • Experience with diary management and the coordination of meetings, bookings, and preparing correspondence.
  • Advanced skills in Microsoft Office suites (particularly Word, Excel, Outlook, and PowerPoint).
  • Strong work ethic and highly self-motivated with an ability to prioritize tasks to meet deadlines.
  • Diploma of Business Administration and/or extensive administrative experience (desired).
